Axiom Talent Management Inc. ("Axiom," "we," "us," or "our") respects your privacy and is committed to protecting the personal information of the candidates, clients, employer partners, and website visitors we work with. This Privacy Policy explains what personal information we collect, why we collect it, how we use and disclose it, and the choices and rights available to you. It is written to comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, the private-sector privacy laws of the provinces in which we operate or in which our clients and candidates reside, including Ontario, Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), Alberta's Personal Information Protection Act, and British Columbia's Personal Information Protection Act.

1. Who we are

Axiom Talent Management Inc. is a talent recruitment, immigration support, employer advisory, and investment planning firm headquartered in Toronto, Ontario, Canada. For the purposes of Canadian privacy law, Axiom is the organization accountable for the personal information described in this policy and has designated a Privacy Officer to oversee compliance (see Section 19).

2. Scope of this policy

This policy applies to personal information we collect through:

  • Our website, axiomtalentmanagement.ca, including consultation booking requests;
  • Our recruitment and placement services for candidates and employer clients;
  • Our immigration support and document-handling services;
  • Our employer advisory and HR consulting engagements;
  • Our investment planning and referral services; and
  • Direct communications with us by email, phone, or in person.

This policy does not apply to the practices of companies we do not own or control, or to individuals we do not employ or manage, including third-party websites we may link to.

3. Information we collect

The personal information we collect depends on the service you use. It may include:

  • Identity and contact information — name, email address, phone number, mailing address, and date of birth.
  • Professional and employment information — resume/CV, work history, education, certifications, references, salary expectations, and work authorization status.
  • Immigration-related information — citizenship, immigration status, passport and travel document details, application and file numbers, and supporting documents you provide for filings with Immigration, Refugees and Citizenship Canada (IRCC) or other government bodies.
  • Financial and investment information — income information, investment objectives, risk tolerance, and account information you provide in connection with investment planning discussions, where applicable.
  • Employer client information — company contact details, hiring needs, and information about your organization's HR processes shared with us for advisory purposes.
  • Website and technical information — IP address, browser type, device information, pages visited, and referring website, collected automatically through cookies and similar technologies.
  • Booking information — when you book a consultation through our Calendly link, Calendly collects your name, email address, and any details you provide in the booking form, subject to Calendly's own privacy policy.

We do not knowingly collect more personal information than is reasonably necessary to provide our services.

4. How we collect information

We collect personal information directly from you when you contact us, submit a form, book a consultation, or engage our services. We may also collect information from third parties, such as former employers, references you provide, government agencies processing an immigration application on your behalf, or publicly available professional profiles, where reasonable and permitted by law.

5. Why we collect and use information

We collect, use, and disclose personal information for purposes including:

  • Matching candidates with employer clients and managing the recruitment process;
  • Preparing, filing, and following up on immigration applications on your behalf or in coordination with a licensed immigration representative;
  • Providing HR and hiring-process advisory services to employer clients;
  • Providing general investment planning information and, where appropriate, referring you to appropriately registered investment professionals;
  • Scheduling and administering consultations;
  • Responding to inquiries and providing customer support;
  • Improving our website and services;
  • Complying with legal, regulatory, and contractual obligations; and
  • Marketing communications, where you have consented or as otherwise permitted by law.

6. Consent

By providing personal information to Axiom, you consent to its collection, use, and disclosure as described in this policy, unless otherwise required or permitted by law. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in Section 19. Withdrawing consent may limit our ability to provide certain services to you, such as immigration filing assistance or job placement.

7. How we disclose information

We do not sell personal information. We may disclose personal information to:

  • Employer clients, when you apply for or are being considered for a role, so they can evaluate your candidacy;
  • Licensed immigration professionals (such as a Regulated Canadian Immigration Consultant or immigration lawyer) and government authorities, including IRCC, where necessary to prepare, submit, or support an immigration application;
  • Registered investment dealers, advisors, or financial institutions to whom we refer you for services that require registration under applicable securities law, which Axiom itself does not provide;
  • Service providers who perform functions on our behalf, such as scheduling (Calendly), email delivery, hosting, and IT support, under contractual obligations to protect your information and use it only for the purposes we specify;
  • Professional advisors, such as our lawyers, accountants, and auditors, where necessary; and
  • Government or regulatory authorities or other third parties where required or permitted by law, including to comply with a subpoena, court order, or other legal process, or to protect the rights, property, or safety of Axiom, our clients, or others.

8. Third-party services (Calendly and others)

We use Calendly, a third-party scheduling service, to let you book consultations directly with us. When you use our "Book a consultation" link, you leave our website and interact directly with Calendly, which processes your booking information under its own privacy policy and terms. We recommend you review Calendly's privacy policy before booking. We receive only the booking details necessary to conduct the consultation.

9. Cross-border storage and transfer

Some of our service providers, including scheduling, hosting, and email providers, may store or process personal information outside Canada, including in the United States. Where personal information is transferred outside Canada, it may be accessible to courts, law enforcement, or national security authorities of that jurisdiction under its laws. We take reasonable steps, including contractual safeguards, to ensure a comparable level of protection is maintained.

10. Cookies and similar technologies

Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how visitors use our site, consistent with PIPEDA. When you first visit, you can choose to accept all cookies or limit us to those strictly necessary for the site to function. You can also manage or disable cookies through your browser settings at any time, though some parts of the site may not function properly if you do.

11. Retention of information

We retain personal information only as long as reasonably necessary to fulfill the purposes described in this policy, including to satisfy legal, accounting, immigration filing, or reporting requirements. Immigration-related documents may be retained for the period recommended or required by IRCC or applicable regulatory bodies. When personal information is no longer needed, we securely destroy, delete, or anonymize it.

12. How we protect information

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the personal information we hold, including access controls, encryption in transit, and confidentiality obligations for our staff and contractors. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach of security safeguards involving personal information that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.

  • Request correction of inaccurate or incomplete personal information;
  • Withdraw your consent to our collection, use, or disclosure of your personal information, as described in Section 6;

To exercise any of these rights, contact our Privacy Officer using the details in Section 19. We may need to verify your identity before responding and may charge a reasonable fee for extensive access requests, as permitted by law.

14. Additional notice for Quebec residents

If you reside in Quebec, additional rights apply under Quebec's Act respecting the protection of personal information in the private sector, including the right to data portability and the right to be informed of any automated decision-making based exclusively on your personal information. Axiom does not use automated decision-making that produces legal or similarly significant effects without human involvement. You may direct Quebec-specific privacy inquiries to our Privacy Officer.

15. Electronic communications and CASL

Where we send you commercial electronic messages, such as newsletters or marketing emails, we do so in accordance with Canada's Anti-Spam Legislation (CASL). Every commercial message will include a way to unsubscribe, and we will honour unsubscribe requests promptly. Transactional or service-related communications, such as consultation confirmations, are not affected by an unsubscribe request.

16. Children's privacy

Our services are directed at adults seeking employment, immigration, HR advisory, or investment services. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
